ConNote How To: Pickups & Deliveries

ConNote Pickups and Deliveries

ConNote is a highly customisable software solution built for managing freight along its entire journey, from picking up the freight from a customer through to delivering to the recipient. ConNote works across both desktop and mobile applications to give data entry staff and drivers the tools they need to stay connected and keep operations running smoothly.

Let’s walk through how this process works at a high level. Alternatively, you can follow these steps here.

1. Book a pickup (Desktop)

The process begins at the desktop. When a customer requests a pickup, ConNote’s smart auto fill features make data entry quick and accurate. In most cases, staff only need to enter:
-  Code for the contact requesting the pickup
-  Code for the contact to deliver the pickup to
-  What the freight is
-  Which driver is picking the freight up
ConNote will automatically fill out saved addresses and contact details. If you need to take it further there are a large number of other fields available such as dangerous goods, booking details and purchase order numbers, allowing ConNote to accommodate many different workflows.

2. Perform the pickup (Mobile)

With ConNote’s dedicated mobile app a driver can view all of their pickup jobs in a list. They’re also able to access any details about the pickup, including the address and freight details. As pickups are completed, drivers can update the status, such as “on board” or “arrived at depot”, giving operations staff a live view of where freight is and what stage it’s at in the process.

3. Convert pickup to a consignment and load it on a trip (Desktop)

Once the freight has arrived at the depot it’s converted from a pickup to a consignment and attached to a trip. A trip in ConNote represents a scheduled freight run of multiple consignments travelling between depots. It tracks appropriate information such as expected departure and arrival dates, trailers being used and where specific consignments are picked up or left along the way. This structure makes it easy to plan and manage transport efficiently.

4. Complete the trip at the destination depot (Desktop)

Once the trip has arrived at the destination depot, staff update the system so the consignments are ready for the final leg of delivery. The delivery status window shows all deliveries and allows them to be assigned to drivers for completion. This dashboard makes it easy to keep track of delivery progress and ensure nothing gets overlooked.

5. Perform final leg of delivery (Mobile)

Just like for pickups, the driver is able to view a list of their deliveries, including details like freight, address and receiver contact details. The ConNote mobile app includes the ability to capture proof of delivery, either by photo or signature, providing accountability and confidence for peace of mind for you and your customers.

6 View the entire process in ConNote (Desktop)

ConNote keeps a complete record of the freight journey, from initial pickup through to proof of delivery. This includes tracking locations for each event in the process, providing further accountability for the drivers and other staff. All of these events can be viewed on the desktop application at any time. If the customer needs confirmation, a proof of delivery report is also available.

And that’s a brief overview of how the ConNote system handles pickups and deliveries. We’ve only scratched the surface of what ConNote is capable of; there are many other options available to suit different workflows. Want to find out more?
